AI tools like ChatGPT can feel impressive. You ask a question, and you get a clear, confident answer in seconds. It is easy to assume that the system “understands” what you are asking and is thinking through the problem.

That is not what is happening.

The simplest way to understand modern AI is this:

It is a prediction tool.

The core idea

AI tools are trained on very large amounts of text and examples. From that, they learn patterns in how words, ideas, and information are usually put together.

When you type a question, the AI is not looking up the answer or thinking it through. It is predicting what a good answer should look like, based on everything it has seen before.

At a very basic level, it is doing something like:

  • Given this sentence, what word is likely to come next?
  • Then what comes after that?
  • And then the next?

It builds a response one step at a time, choosing what is most likely to make sense.

That is why the output often reads well. It has learned the patterns of good writing.

Why it feels like it understands

Because the predictions are so good, the result feels natural and confident.

If you ask for:

  • An email to a customer
  • A summary of a report
  • An explanation of a topic

The AI has seen thousands or millions of similar examples. It can recreate something that looks right.

But there is an important difference:

It is producing something that looks correct, not checking whether it is correct.

A simple food industry example

Imagine you are developing a new ready meal product and you ask an AI tool:

Draft an allergen statement and product description for a chicken pasta dish.

The AI will quickly generate something that looks professional and well-structured. It might even include common allergens like gluten, milk, or celery.

Why?

Because it has seen many examples of product descriptions and allergen statements. It knows the pattern.

But it does not know:

  • Your exact recipe
  • Your specific ingredients
  • Your production environment

If your product includes something less obvious, or excludes something typical, the AI can easily get it wrong.

It is not checking your product. It is predicting what a typical answer should be.

Another example: problem solving

Let’s say you ask:

Why might a temperature probe give inconsistent readings?

The AI may give a list of sensible reasons:

  • Calibration issues
  • Sensor damage
  • Environmental factors

These are all reasonable suggestions because they are common patterns.

But it does not know:

  • Your specific equipment
  • Your site conditions
  • What has already been ruled out

So while the answer sounds helpful, it is still a starting point, not a diagnosis.

Why AI makes mistakes

Once you understand that AI is predicting rather than thinking, the mistakes make more sense.

AI can:

  • Fill in gaps with what is typical rather than what is true
  • Combine pieces of information in ways that sound right but are not accurate
  • Present answers confidently, even when uncertain

This is sometimes called an AI hallucination, but it is really just the system following patterns too far.

Where it works well

AI is very useful when the task is about structure and patterns, such as:

  • Drafting emails or reports
  • Summarising documents
  • Creating first versions of procedures
  • Organising information

In these cases, it is saving time by doing the repetitive part of the work.

Where you need to be careful

You need more caution when:

  • Accuracy is critical
  • Details are specific to your business
  • Decisions have real consequences

This includes things like:

  • Allergen information
  • Compliance and audit content
  • Food safety decisions

In these situations, the output must always be checked.

A simple way to think about it

AI is not thinking. It is predicting what a good answer should look like.

That makes it:

  • Fast
  • Helpful
  • Efficient

But also:

  • Sometimes wrong
  • Sometimes overconfident
  • Always in need of review
